Terms of Service

01What this service is

voice.inbox ("the service") is a personal voice capture tool. You record short memos, an AI extracts structured tasks and ideas, and a dashboard summarises your activity.

By creating an account, you agree to these Terms of Service ("Terms") and to our Privacy Policy.

02Who runs it

The service is operated by Bruno Mendes, an individual based in Amsterdam, the Netherlands. There is no company entity behind it (yet). You are entering into an agreement with me as an individual.

03Your account

• You must be at least 16 years old to create an account.
• You agree to provide accurate information (a real email address).
• You are responsible for keeping your password safe.
• One account per person. No sharing accounts with other people.
• You agree to notify us if you suspect your account has been compromised.

04The alpha trial

• The alpha trial is free.
• You get 10 memos over a 7 day window from when you create your account.
• When the trial ends, the service stops accepting new memos from your account. Existing data remains accessible while the alpha is operated, unless you delete it or we notify you of a retention or service change under these Terms.
• We may change these limits at any time. We will notify you if we do.
• If we launch a paid version later, we will give you the option to subscribe or stop using the service. You can request a copy of your data by email; there is no self-service export tool yet.

05Your content

You own everything you record and create with the service. We do not claim ownership.

To run the service, you grant us a limited, non-exclusive, royalty-free license to:

• Store your transcripts and extractions on our infrastructure.
• Send recordings through our backend to OpenAI for transcription.
• Send your transcripts to Anthropic for AI processing.
• Send transcript- and summary-derived text to OpenAI to create semantic-search embeddings.
• Display your content back to you on your own dashboard.

This license ends when you delete your content or your account. We do not use or authorise your content for marketing, advertising, public display, or model training. AI providers process it under the policies described in the Privacy Policy.

06Acceptable use

You agree NOT to use the service to:

• Break any law that applies to you or to us.
• Harass, threaten, or harm any person.
• Store sensitive personal data of other people without their consent (medical info, financial info, IDs).
• Store credentials, passwords, or secrets that belong to other systems or companies.
• Attempt to overload, hack, reverse-engineer, or probe the service for vulnerabilities (without responsible disclosure).
• Automate sign-ups, run bots, or abuse the trial system (one account per person).
• Resell access to the service or use it on behalf of a third party.

If you violate these rules, we may suspend or close your account without refund or notice.

07Service availability

This is alpha software. We make no guarantee of uptime, reliability, or data preservation. The service may:

• Be unavailable for maintenance, bugs, or accidents.
• Lose data if a backup fails (we do our best, but no system is perfect).
• Be discontinued entirely, with 30 days of notice by email.

Keep your own copy of anything you cannot afford to lose. There is no self-service export feature yet; you can request a copy of your data using the contact email below.

08No warranties

The service is provided "as is" and "as available", without warranties of any kind, express or implied. To the maximum extent permitted by law, we disclaim all warranties including merchantability, fitness for a particular purpose, accuracy of AI output, and non-infringement.

The AI extractions are generated by a machine learning model. They may be incomplete, wrong, or misleading. Do not rely on them for any decision that matters. You are responsible for verifying anything the AI produces.

09Limitation of liability

To the maximum extent permitted by Dutch law:

• We are not liable for indirect, incidental, special, consequential, or punitive damages.
• We are not liable for loss of profits, data, business opportunities, or goodwill.
• Our total liability to you for any claim arising from the service is limited to €100, or the amount you paid us in the last 12 months (whichever is higher).

Nothing in these Terms limits our liability where this would not be permitted by law (for example, in cases of intent, gross negligence, or death and personal injury under Dutch consumer law).

10Termination

• You can close your account at any time from inside the app. When the request succeeds, your active account and associated app records are removed. Provider backups and operational logs may follow separate retention schedules described in the Privacy Policy.
• We can suspend or close your account if you violate these Terms, if we receive a credible legal request, or if the service is discontinued. We will give reasonable notice unless the situation requires immediate action.

11Changes to these Terms

We may update these Terms over time. If we make material changes, we will notify you by email at least 14 days before they take effect. Continued use of the service after that period means you accept the new Terms. If you do not accept them, you can close your account.

12Governing law and jurisdiction

These Terms are governed by the laws of the Netherlands, excluding its conflict of laws rules. Any dispute will be submitted to the exclusive jurisdiction of the courts of Amsterdam, unless mandatory consumer protection law in your country of residence gives you the right to file in your local courts.

13Severability

If any provision of these Terms is found to be unenforceable, the rest of the Terms remains in effect. The unenforceable provision will be replaced with one that is enforceable and that comes as close as possible to the original intent.

These Terms are provided in English. A Portuguese translation may be added later. In case of conflict, the English version prevails.
